Job Description
• Answer telephone, screen and direct calls in an effective and efficient manner • Take and relay messages • Provide information to callers • Greet persons entering company • Direct persons to correct destination • Ensures knowledge of staff movements in and out of company • General filling – sales orders, quotes and pro-forma invoices • Send and sort mail • Tidy and maintain the reception area • Maintain PABX and testing lines Key Competencies • Verbal and written communication skills • Professional personal presentation • Customer service orientation • Information management • Organizing and planning • Attention to detail • Initiative • Reliability • Stress tolerance Daily and monthly tasks • Stationary o Order from supplier (best price) o Maintain an adequate inventory of office supplies o Monitor the use of supplies o Bulk stationary to be kept upstairs o Monthly sheet with stationary bought to be mailed to account • Groceries o Maintain an adequate inventory of groceries o Buy once a month from pick n pay online shopping/or other suppliers (best price) • Office drinks o Maintain an adequate inventory of drinks o Order from supplier • Printer and Toners o Maintain an adequate inventory of toners o Phone supplier when maintenance on printers are required • Coffee and Water o Maintain an adequate inventory of coffee and water o Order from supplier • Miscellaneous o Labels (Silver label and white labels) o Credit card machine rolls o Vacuum cleaner bags o Hand towels for toilets o Polystyrene cups for water machine o Flowers o Birthday cards o Office plant o Farewell of staff leaving CFS / maternity incl card, collection of monies, food o Spreadsheet of call volumes to sales o Spreadsheet of telephone listing o Arrange Food/platters for lunch/meetings when requested • Labels o Print labels for store – small and large – there must always be stock o Print labels for specific items when asked (stock items and fixed asset labels) • Credit card slips o Match merchant batch report with previous day sales o File • Petrol slips o File petrol slips from all staff o Print petrol report on 16th o Attached slips o Completed report to Sam (3 working days before salaries) o Yearly collection of old petrol cards and distribute new cards to employees o Addition/cancellation/changes to petrol cards • Stock take o Arrange dinner o Normal stock take section duty • Filing o Daily filling o New files for sales orders (quarterly) o New files monthly for quotations o Boxed files when necessary
